📌 Position Overview
The Office Administrator will play a key role in ensuring efficient office operations, organized record management, effective communication, and professional support across all federation activities.
Key Responsibilities
1. Administrative & Office Management
Manage front-office operations including receiving visitors, phone calls, and inquiries.
Maintain an organized office environment, ensuring cleanliness and availability of supplies.
Handle correspondence, printing, scanning, and filing of documents (both digital and physical).
Prepare meeting agendas, minutes, and reports when required.
2. Membership & Athlete Support
Assist with membership registration, renewals, and record updates.
Maintain accurate data for swimmers, clubs, and officials.
Coordinate communication with clubs, coaches, parents, and athletes.
3. Event & Competition Coordination
Support planning and logistics for swimming events, competitions, and meetings.
Assist in registration, scheduling, and communication of event details.
Coordinate travel arrangements when required.
4. Finance & Record Keeping
Maintain office records, receipts, and basic bookkeeping tasks.
Support the preparation of budgets, requisitions, and financial reports.
Manage petty cash under proper accountability.
5. Communication & Public Relations
Draft official emails, notices, newsletters, and announcements.
Manage social media updates and official communication channels.
Provide prompt and professional responses to inquiries.
6. Support to Management
Assist the Federation Executive and Board with administrative tasks.
Ensure timely sharing of information and follow-up on assigned tasks.
Maintain confidentiality of all federation activities and documents.
Required Qualifications & Skills
- Diploma in Business Administration, Office Management, IT, or related field.
- Computer literate (MS Word, Excel, email, digital filing).
- Strong oral and written communication skills.
- Skills in sales & marketing (added advantage).
- Valid driving licence (an added advantage).
- Ability to multitask, prioritize, and work under minimal supervision.
- High level of integrity, professionalism, and customer service.
